How do I create a form with Poool Access?

Using a form in a scenario is done in two steps:


  1. Create a form in the dedicated section of the Dashboard
  2. Set up a "Form" widget in a scenario


Just like with advanced appearances, you can build your forms using components. Go to the "Forms" section in the Dashboard menu, and choose [Create a form] to access the form builder. You then have the choice between starting from a template or creating your form from scratch.

Starting from a template


We offer a form template, available by clicking on [Start from a template].


It is a classic account creation form.



In the preview on the right, you can also select an appearance you want to apply to your form. In our example, we use the default appearance of our application.


To use the template, click on [Apply]


Creating your own form


You can also start from scratch by clicking on the ⨁ button in the builder space. The components and fields panel will allow you to add the elements of your choice.


All components and fields come with options that allow you to customize them. To access a component or field's options, click on [✏️].


Basic components


We provide 8 basic components. To find details on each of them, visit our Appearances section.




Form fields


12 field types are available, depending on the information you want to collect:

Text field

This field allows the user to enter a short text (max 255 characters, line breaks allowed).


Multiline text field

This field allows the user to enter a long text (max 1000 characters, line breaks allowed).


Password field

This field allows the user to enter a password. By default, characters are replaced by dots, but the user can display the characters by clicking on the [👁 ] icon in the field.


Email field

This field allows the user to enter an email.


Poool verifies that the information entered by the user matches an email format before submitting the form. If you want to add additional verifications, you can consult our technical documentation on this topic.



Dropdown list field

This field allows the user to select an option from a list.


Date field

This field allows the user to enter a date.


We verify before submission that the date entered by the user matches the format chosen in the form options.


Radio buttons

This component allows you to add one or more radio buttons. The reader can select one of the options.


Checkbox

This component allows you to add a checkbox. The reader can check or uncheck it.


Credit card field

This field allows the user to enter a credit card number.


Using this field requires having a Stripe account and performing a specific technical integration. See the technical documentation.




Field settings


In the "Settings" tab of each field, you can configure the label, placeholder, associated variable name, or whether the field is required for form submission.




A variable name corresponds to the name given to the object that will contain all the collected data. It is automatically created for each field, and you can modify it as you wish. These variable names must be communicated to/by your technical team.



Form options


In a second step, you can choose the following options for your form:


  • Displaying the opt-in checkbox for data collection.


Reader view "Explicitly ask for user consent" (with checkbox):



Reader view "Do not ask for user consent" (without checkbox):



Depending on the data you are collecting and the purpose, the opt-in may be implicit as the action of submitting the form may be considered as consent to data collection.


  • Date format


Allows you to select the date format that defines the expected format for validating what the user enters, in case you are using a "Date" field type in your form.



Once all these settings are done, you can now "Create" your form.


Adding the form to the scenario


Once created, you need to activate it in your scenario.


Go to the scenario in which you want to use the form.


If not already done, add a block in your scenario with a Form widget.



Click on [⠇] on the Form widget to access the edit screen.


Choose from the list the form you want to display. Here, "account creation".

Also select the appearance to apply. Here, "Articles-English".



Don't forget to save your scenario changes by clicking [Create] or [Update] at the bottom of the page.


Your Form widget is now created and inserted in your scenario 🎉

About data collection


Finally, don't forget to fill in your GDPR texts for the Form widget.


Two options:


  • "Messages" section of the Dashboard


When you select "Form" in the widget texts, make sure to scroll down to expand the "Data processing information settings" section.



But you can also configure specific texts for each Form widget, depending on the uses of the collected data, in the advanced options, "advanced text settings".
